Settings is where the business is set up, a part at a time, in tabs across the top. Most tabs take the business settings switch; logins and card payments are for owners. What the businesses of an organization share (their locations with their kind and hours, brands, logins across the businesses and each one's modules) is in Admin; the Business, Team and Menu tabs say so in a line that opens it.

Business

  • Company name and Time zone. Appointments keep the clock time they were booked for if the zone changes.
  • Takes payment: off for a business that only books, such as meeting rooms. Prices are hidden and the register goes away.
  • Languages: your language and the others clients may use (see Languages).
  • Date Format: how each language writes a day in numbers (MM/DD/YYYY, DD/MM/YYYY or YYYY-MM-DD), and Reports and printed documents: in each person's language, or always in one (see Languages).
  • Calendar: the hours it Shows from and Until, Time slots of 5 to 60 minutes, and the day the Week starts on.
  • What You Call Things: the words for who you book, what you book them for, who performs it and what is booked with it. Fill from… offers ready-made sets (Salon or spa, Medical or dental, Tattoo studio, Rooms and equipment).
  • Location and Tax: the address, phone and email, and the sales tax on services and on products. Only services marked to charge tax are taxed.
  • More than one location?: add your other places of business. Each gets its own calendar, register, cash drawer, tax rates and report, and the reports add them together; clients, services, stock and marketing stay shared. A location can be closed and opened again; closing keeps its history. What kind of place each is, its hours, who runs it, and moving one to another business are in Admin, Locations.
  • Business licenses: the business's own, such as the salon establishment license.

Online booking

Your booking link and its rules: notice, how far ahead, the change and cancel window, deposits, the card hold and the fees, and whether bookings arrive confirmed. Reviews takes your Google review link: a code for it prints on each receipt, and a paid sale gets a Leave a review button. See The calendar and the front desk.

Connections and Approvals

The services you link, your own AI assistant, API keys and webhooks, and the rules for what programs and AI may change. See Connections, AI assistants and the API.

Messages and Card payments

What is sent to clients by itself (see Messages), and taking cards through the app (see The register and payments).

Team

Logins and their switches (owners), each login's language, the Activity log of every change, and the assistant's model. See Your team and their schedules.

  • Menu: which sections sit on the top bar and in what order; the rest are in the Apps menu. On a phone or small tablet the bar holds the first four.
  • What you use: every optional part of the app as a switch, what your kind of business suggests first and every other part under Also Available, any of which can be switched on. What is off disappears from every screen and nothing in it is lost. Change picks the kind of business again and answers the setup questions. Loyalty points and the loyalty card are set up here too.
  • The kind of business: under Beauty (hair salon, barber shop, nail salon, lash studio, brow studio, makeup artist), Wellness (day spa, massage therapy, med spa, acupuncture, chiropractic) and Fitness (gym, fitness studio, personal training, yoga studio, pilates studio), each kind is a preset: it switches on the parts that kind nearly always uses (what you already have on stays on), gives the booking page its words (a stylist, a therapist, a treatment, a member, a reformer) where you still use the app's own, and sets the register's tip tiles (none for a med spa, a clinic or a gym, where tipping is not the custom). Tick Add the starters to add its menu of categories with sample services, its rooms or stations and its forms as ordinary records, yours to keep, change or delete; anything you already have by the same name is left alone. Other kinds of business (a product brand, a maker, something else) set the switches alone. The same choice is in Admin, Organization, for each business.

Records

  • Forms: intake questions and consent to sign on the tablet.
  • Progress: what you measure for clients and the plans you put them on.
  • Bring Your Data Over (owners): clients or services from another system's CSV export, checked before anything is added, brought in in the background, with a report and an undo; the last files brought in are listed under it. See Bringing your records over.
  • Everything the Business Holds: one download with a spreadsheet for each kind of record, for whoever has the download switch. See Backups, history and getting things back.

Look

Your logo (square, and wide for where there is room) and the app's colors and style. The business's brand greets the team for a moment each time the app is opened.

More than one business

Each business keeps its own books, clients, team and stock, and shares none of their records with another. From the business menu (your business's name at the top), choose New business to add one beside the others; it opens next, to say what kind of business it is. Switch between them from the same menu. With more than one, All businesses opens the Business Hub: the businesses side by side, with sales this month, appointments today and orders to send, each figure shown only where your login there may see it. Admin sets up what they share: see Admin.

Best practices

  • Set the time zone before you book anything.
  • Name things your way early; every message and screen uses your words.
  • Add a second location as a location, not a second business, when it shares the same books, clients and stock.
  • Add a second business when it is its own company: its own books, its own bank.
  • Download everything the business holds now and then, and keep it somewhere safe.
