The register and payments

Ringing up a sale, tips, splitting a payment, ways to pay, receipts, refunds, voids and exchanges, the cash drawer, working offline, and setting up card payments.

Checkout is the register. A visit checked out from the calendar opens here with its services already on it; anything else is rung up as a new sale. Each location has its own register, cash drawer and tax rates.

Ringing up a sale

  1. Open Checkout and choose New sale, or choose Check out on an appointment.
  2. At the top of the sale, choose who is ringing it up. The device remembers it for the next sale; tap the name to change it. Until someone is chosen on a device, it is the person signed in, when they are on the team.
  3. Tap what is being sold in the catalog, or scan a product's barcode. Services, products, bundles, packages, gift cards and discounts each have their own tab, and Find something narrows them. The scan field is under the catalog, ready for the next scan; a scanner works anywhere on the register, even right after a tile is tapped, and a barcode typed into Find something puts its product on the sale when you press Enter.
  4. To add something not on the menu, use Custom amount and type what it is and its price.
  5. Pick the client for the sale, so it lands on their record and earns their loyalty points.
  6. Each thing on the sale is a tile with its price, how many when more than one, and who did it or sold it when that is not who is ringing up. A membership or a package says who it is for. Tap a tile to change its quantity, price, discount or person.
  7. Add a Discount ($ or %) or a coupon code when there is one, choose Charge, and add a Tip.
  8. Under How is it being paid?, choose the way to pay and take the payment.

To take something off, tap the X on its tile, or the minus on its tile in the catalog. It comes off at once, without a question, and Undo puts it back for a few seconds. A bundle comes off whole.

The sale closes when it is paid in full. Save for later keeps an open sale to finish afterwards; open sales wait under Open.

On a computer, a tablet and a phone

On a computer and a tablet, the catalog stays open beside the sale. On a phone, the sale fills the screen: Add items opens the catalog over it, and Done goes back to the sale, with how many things are on it and the total. On every screen the total and the button that takes the payment stay in view at the foot of the sale, above the bottom navigation, however long the sale is.

Ways to pay

  • Cash: type what was handed over, and the change due is shown.
  • Card: with card payments set up, the card form opens when you take the payment; enter the card, or hand the screen to the client. Without them, Card (own terminal) records a card you ran on your own machine.
  • A card on file: when the sale's client has a saved card they agreed may be charged for what they approve, pick it under Card and it is charged without the card there, held to what is owed (see cards on file).
  • Gift card and Store credit: typed or scanned by their code; the balance comes off. A client with store credit has it shown on the sale: choose Gift card to spend it.
  • A gift card sold on the sale is made when the sale is paid, and its code prints on the receipt; a membership sold pays the client it is for up for one more period each.
  • Package visit: a visit from a package the client bought.
  • Check and Other.

To split a payment, choose Split the payment and add each part: some on a card, the rest in cash. Take one card at a time.

After the sale

From a paid sale: Print receipt, Email receipt, or show Leave a review for the client to scan with a phone (with your review link set in Settings, Online booking, under Reviews).

  • Refund gives some or all of it back: pick what is coming back and how the money goes back. A card payment goes back to the card it was paid with; the bank usually shows it in 5 to 10 days. Or keep it as store credit.
  • Exchange takes something back and puts what they take instead on a new sale, with what came back already counted toward it: the difference is paid at the register any way they pay, or given back. What comes back goes back into stock when the new sale closes. A refund or an exchange to Card (own terminal) is run on your own machine; the app records that it went back to the card.
  • Void undoes a sale that should never have been, with why it is being voided.

Refunds and voids take the refunds switch on a login.

The day's totals and the cash drawer

The first line in Checkout is the day's totals: sales, how they were paid, tips and refunds.

  1. At the start of the day, open Cash drawer and choose Open the drawer. Count what it starts with: type the total, or Count notes and coins.
  2. Cash taken out or put in during the day is recorded under Cash In and Out, with what for.
  3. At the end of the day, choose Count and close: count the drawer, see what it Should hold, and whether it is over or short.

With no connection

If the connection drops, the register keeps working. New sales are kept on the device and sent when the connection is back: cash, checks, cards run on your own terminal, and other payments. They show under Kept on this device until they are sent.

Setting up card payments

  1. An owner opens Settings, Card payments, and chooses Set up card payments.
  2. It takes about ten minutes: the business's details, who owns it and the bank account payouts go to.
  3. When it is done, the card shows the Card rate and the Payouts to your bank.

There is no monthly fee for taking cards; the rate comes off each payment before it is paid out. Disputes to answer shows any card a client disputed. Open your payments page for the processor's own page.

Card payments also make online deposits, card holds, card-on-file fees, online store checkout and wholesale invoices paid by card work.

Best practices

  • Always put the client on the sale. Their history, points and marketing all depend on it.
  • Count the drawer at the start and the end of every day, even when it is quiet. Small differences are easier to find the same day.
  • Refund to the original card rather than in cash, so the books and the bank agree.
  • Use Save for later for a client who steps out mid-sale, rather than voiding and starting again.
  • Set up card payments before you switch on deposits or card holds online; until then, the booking page books without them.
