Reports shows how the business is doing, for a stretch of days: this month, last month, the last 30 or 90 days, this year, or days you pick. With more than one location, pick one or see them all. What is in the reports is private: a login needs the reports switch to open them.
The tabs
- Locations (with more than one): every location side by side, each row that location's own report in brief, and the business as a whole last. Choose a location above to open its full report.
- Sales: what was sold and collected, the number of sales and the average sale, how it was paid, tips, tax, discounts and refunds, and the top services and products.
- Team (or your word for it): each person's service and product sales and tips. What each person is owed is worked out in Time & Pay, from their own pay plan.
- Clients: new and returning, the top clients, who has Gone Quiet (not seen in three months, with nothing booked), and birthdays this month.
- Offers: coupon codes used, memberships, and gift cards and store credit sold and spent.
- Appointments: how many, the no-shows and cancellations, and the Busiest Days.
All reports opens the library: every report the app keeps, by kind, each run for the days and location you choose and downloadable as a spreadsheet. Among the customer reports, Where customers come from counts everyone who became a customer in the days chosen by where they came from (Google, Instagram, the booking page, a referral, a walk-in, your own places), with how often they have been seen and what they have spent since: the same figures each client's profile shows (see Clients).
By resource: how full each one was
By resource shows, a week at a time, how full each person, each room or chair, and each machine or line was, day by day: the hours it was open, what was booked or running on it, and what of that was done.
- The team (or your word for it): each person's working hours that day against their appointments and the classes they teach. A day off says Not working; blocked time (a break, part of a day off) is taken out of the hours there were to fill.
- Rooms and chairs (or your word for them): the location's opening hours against the appointments booked in them. A location with no opening hours set uses the hours the team works there, and the day's sheet says so; set them under Admin, Locations.
- Machines and lines, with manufacturing on: each one's own hours against the runs on the schedule. A run only counts inside the hours, since it waits while the line is shut.
Each day reads as booked of free ("6 h of 8 h"), with a bar as full as the day: light blue with room to spare, green when steady, amber when nearly full, orange when full, and red when something was booked with no free hours at all. Time booked outside the hours (before opening, after closing, on a day off) is said in red under it, and what was done (visits checked out, classes that ended, runs closed) in a line of its own. Booked time is counted once, however much of it overlaps.
Open a day for its sheet: the hours, and everything on it in order (each visit with its client and room, each class with how many are booked, each run with its quantity and what has been made, blocked time with its note), with how each stands. Print gives the same sheet on paper, to work from at the chair or on the line. On a tablet held upright and on a phone, the days are a row of buttons and the list shows the one picked.
A login whose client book is narrowed sees every number, and another person's clients as Booked on a day's sheet, as the calendar keeps them. The assistant answers the same questions ("how booked is Danielle next week?", "what is on the filling line tomorrow?"), from the same figures.
Reports elsewhere
- Stock: Inventory, Reports (what came in and went out, what it is worth, aging and turnover).
- The financial statements: Books, Reports.
- Sales to other businesses: Sales, Reports (see Sales reports, goals and the forecast).
- The website's visits: Website & App, Analytics.
- A spreadsheet the team keeps: Reports, From a sheet groups any sheet in Memory by one of its columns and adds up its money and numbers (see Memory and the assistant).
The assistant answers questions about the figures too: "how did September compare to August?"
Best practices
- Look at the same report on the same day each week. A habit beats a deep dive once a quarter.
- Compare a period with the one before, not with your memory.
- Work the Gone Quiet list: those clients are a text away from a booking.
- Read Where customers come from before you spend on ads: it says which places bring people who come back.
- Check the busiest days before you set work hours, and plan promotions for the quiet ones.
