Plans and billing

Your free trial and its days, choosing a plan by the month or the year, the card on file and invoices, logins and add-ons, and what happens when a payment does not go through.

A business starts with a free trial the day it is set up. Your organization (every business you run together) shares one plan: the logins and the add-ons of all its businesses count against it. Everything about it is in Admin, under Billing, for an owner, or an admin with the business settings switch; only an owner chooses the plan and opens the card on file.

Your free trial

  • The trial is the plan that suits your kind of business, for that plan's number of days, counted where your business is: it runs through the close of its last day on your own clock, whatever time it is elsewhere.
  • While it runs, a strip under the top bar says how many days are left and offers Choose a plan. On its last day it says it ends today.
  • Choosing a plan during the trial keeps the rest of it: the first payment waits for the trial's last day.

Choosing a plan

  1. Open Admin, then Billing, or choose Choose a plan in the strip under the top bar.
  2. Pick By the month or By the year, when a plan is offered both ways.
  3. Each plan says its price, the logins it includes, its free trial and what each add-on costs on it. Choose the one you want.
  4. You are taken to the card processor's own page to enter the card. The app never shows a card field of its own, and never sees the card's number.
  5. Once paid, you come back to Billing, which says the plan is set as soon as the card processor confirms it.

To change plans later, choose another under Change the plan: the change is made at once and the difference is prorated.

The card, invoices and canceling

  • The card on file, invoices and canceling opens the card processor's own page for your account: change the card, see and download every invoice, or cancel.
  • Your invoices are also listed under Invoices in Billing, each with a link to see it.

Logins and add-ons

  • Logins counts each person with a login at any of your businesses once, against what your plan includes. With more than it includes, choose a plan with more.
  • Add-Ons in Use lists the deeper parts switched on at your businesses (advanced inventory, retail, manufacturing), each with its price on your plan, or Included. One switched on after you chose your plan says not billed yet: Bring the plan up to date adds it, prorated.
  • This month shows the emails and text messages your businesses sent.

When changes are paused

Your records are always yours to read. Changes are paused, and the strip under the top bar says why, when:

  • the free trial has ended and no plan was chosen (an owner chooses one);
  • the last payment did not go through (an owner updates the card with Update the card);
  • the plan was canceled (an owner chooses a plan again).

While paused, every screen still opens and every report still runs, but nothing can be saved; the assistant answers questions and puts nothing forward; and programs using your API keys can read but are told their changes are paused. Your booking page, your online store and your website keep working for your clients. Everything goes back to normal the moment the plan is seen to.

A rep's or partner's code

If one of BookNovi's reps or partners gave you a code, type it in the last step of the guided setup, under A rep’s or partner’s code. A link they sent you with the code in it fills it in for you. It tells BookNovi who to thank for bringing you in.

Best practices

  • Choose a plan before the trial's last day: nothing is charged until the trial ends, and nothing is paused.
  • Keep the card on file up to date; a card that expires is the most common reason a payment does not go through.
  • Remove logins nobody uses, under Admin, People, before choosing a plan with more of them.
